Step 1: Log In to Your XOLogic Account
- Log in to your XL Logic account.
- Ensure you have admin privileges to perform the import.
Step 2: Navigate to the Imports Section
- On the left-hand menu sidebar, locate and click Imports.
Step 3: Create a New Import
- In the Imports menu, click Create Import.
- This opens the import page with a pop-up box titled Import Create.
Step 4: Select the Import Type
- In the Import Types drop-down menu:
- Navigate to Settings Import.
- Select Item Identifier Import.
- Confirm that the import type updates to Item Identifier Import.
Step 5: Download the Sample Template
- On the right-hand side of the page, find the Sample Template link at the top.
- Click the link to download the template.
- Locate the downloaded file on your computer (e.g., in your Downloads folder, depending on your browser settings).
Step 6: Open and Prepare the Template in Excel
- Open the downloaded file using Microsoft Excel.
- Important: Converting a CSV file directly to Excel may cause corruption. To avoid this:
- Open Excel and go to File > New > Blank Workbook to create a new workbook.
- Copy the top row (header) from the downloaded file.
- Paste it into the new workbook.
- Save this new file as your template, e.g., Item_ID_Upload_Template.xlsx.
- Keep this `.xlsx` file saved for use with future vendors.
Step 7: Understand the Template Columns
The template includes four columns with the following headers:

| Vendorname | The vendor name, exactly as spelled on your suppliers page (case sensitive, e.g., "Dorian"). |
| itemnum | The vendor’s ID number for the item. |
| Label.LabelText | The identifier name used to map your item number (e.g., "CloudSuiteID"). |
| Number | The item identifier is set up in the system (e.g., "DORIAN-QITP25N"). |
Step 8: Fill Out the Template
- Enter the data for each item identifier under the appropriate columns.
- Recommendation: Create separate files for each vendor to:
- Keep file sizes smaller.
- Simplify troubleshooting if issues arise.

Step 9: Save the File in CSV Format
- Once all data is entered:
- Go to File > Save As.
- In the file format drop-down menu, select CSV UTF8.
- Name the file for easy reference, e.g., Item_ID_Upload_Dorian_01.csv.
- Save the file.
- You now have two files:
- The `.xlsx` template for future use.
- The `.csv` file for uploading.
Step 10: Upload the CSV File to the Website
- Return to the Imports page on your XL Logic dashboard.
- Click the blue + Create button (top right).
- In the pop-up menu:
- Under Import Types, select Item Identifier Import from the drop-down menu.
- In the Download File Name field, enter a custom name for the import (optional; defaults to the job ID if left blank).
- For Upload File:
- Drag and drop the `.csv` file into the blue box, or
- Click to browse and select the file from your computer.
- Once the file is uploaded, click the green Run button to process the import into your website’s database.
Additional Notes
- Ensure all vendor names match exactly (including case sensitivity) to avoid import errors.
- By adding item identifiers to your database, you enable real-time pricing integration.
If you encounter issues, verify the CSV file format and data accuracy, and consider processing smaller vendor-specific files.
After Running the Import
Once you've uploaded and run the import file, follow these steps to check the status and resolve any issues:
- Processing Time: After clicking 'Run,' the import process may take anywhere from a few minutes to several hours, depending on the size of your file.
- Checking the Status: Once the import is complete, the status column will display one of two messages:
- Successfully Finished: The import was completed without any issues.
- Job Finished with Errors: There were issues during the import that need to be addressed.

Viewing Error Details: If the status shows 'Job Finished with Errors,' click on the status to view a pop-up with detailed error information. This will include the line numbers where errors occurred and the corresponding error messages.
Common Error Messages:
- The provided product ID is not recognized": This error typically appears with a line number and timestamp, e.g.,
- Line #66, 08:50:36.276 AM, The provided product ID is not recognized: This indicates that the vendor ID on that line hasn't been added to your website's database.
- Resolution: Compile a list of the missing vendor IDs from the error messages and contact IBC to have them added to your website. This ensures your full catalog is available for integration and real-time pricing.
- "Vendor not found": This error suggests there may be a spelling mistake in the vendor name.
- Resolution: Double-check the spelling of the vendor name in your import file. Alternatively, you can use the vendor ID instead, which can be found on the suppliers page.
